Position Overview:

We are seeking a meticulous, articulate, detail-oriented, and proactive Executive Assistant to provide comprehensive support to our CEO. The successful candidate will play a pivotal role in ensuring seamless executive operations and contribute to the overall efficiency of the organization. Certification in executive assistant training or secretariat science is considered an added advantage.

 

Key Responsibilities:

 

  • Coordinate and manage the CEO's schedule, including appointments, meetings, and travel arrangements.
  • Ensure effective time management and prioritize commitments based on business priorities.
  • Communication:

 

  • Act as a primary point of contact between the CEO and internal/external stakeholders.
  • Draft and edit correspondence, emails, and other documents on behalf of the CEO.
  • Information Management:

 

  • Organize and maintain confidential information, documents, and records.
  • Conduct research and compile data as requested to support decision-making.

 

  • Prepare agendas, attend meetings, and compile minutes as necessary.
  • Coordinate logistics for internal and external meetings, including venue bookings and technology setup.

 

  • Manage travel itineraries, accommodations, and logistics for business trips.
  • Ensure cost-effective travel arrangements while maintaining comfort and efficiency.
  • Documentation and Filing:

 

  • Maintain an organized and accessible filing system for documents and correspondence.
  • Assist in document preparation for presentations, reports, and proposals.

 

  • Undertake special projects and assignments as directed by the CEO.
  • Collaborate with cross-functional teams to achieve project objectives.

 

Qualifications and Skills

 

  • Proven experience as an Executive Assistant or in a similar role.
  • Certification in executive assistant training or secretariat science is an added advantage.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to handle confidential information with discretion.
  • Proactive problem-solving and decision-making abilities.
