Finance Assistant

Organization: J-Palm Liberia
Location: Kingdom Care Community, Duport Road, Montserrado County, Liberia

Reports To: Finance Manager / Chief Executive Officer
Employment Type: Full-Time

1. Purpose of the Position

The Finance Assistant will support the Finance Department in maintaining accurate financial records, processing transactions, managing payroll support, reconciling accounts, and ensuring compliance with internal financial procedures and statutory requirements.


2. Key Duties and Responsibilities

A. Financial Record Keeping

  • Maintain accurate and up-to-date financial records (cashbook, ledgers, journals).

  • Record daily financial transactions in accounting systems or manual books.

  • File and organize financial documents (receipts, invoices, vouchers, contracts).

  • Ensure proper documentation and approval before posting transactions.

B. Accounts Payable & Receivable

  • Prepare payment vouchers and process payments upon approval.

  • Verify supplier invoices against purchase orders and delivery notes.

  • Track and follow up on outstanding receivables.

  • Reconcile supplier statements with company records.

C. Cash & Bank Management

  • Assist in preparing bank deposits and withdrawals.

  • Conduct monthly bank reconciliations.

  • Monitor petty cash and ensure proper accountability and replenishment.

  • Prepare daily, weekly, and monthly cash flow summaries.

D. Payroll Support

  • Assist in payroll preparation and verification of attendance records.

  • Ensure salary calculations, deductions, and allowances are accurate.

  • Support statutory deductions and reporting (tax, social security, etc.).

E. Budget & Reporting Support

  • Assist in preparing financial reports (weekly, monthly, quarterly).

  • Support annual budgeting processes.

  • Provide financial data for management decision-making.

F. Compliance & Internal Controls

  • Ensure compliance with company financial policies.

  • Support internal and external audit processes.

  • Maintain confidentiality of financial information.

  • Identify and report discrepancies or irregularities.

G. Administrative Support

  • Support procurement documentation processes.

  • Assist in tracking company assets and inventory records.

  • Perform other finance-related duties assigned by Management.

H. Qualifications and Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.

  • Minimum of 2 years’ experience in a similar finance or accounting role.

  • Knowledge of accounting principles and financial procedures.

  • Familiarity with accounting software and Microsoft Excel.

  • Understanding of Liberian tax and labor regulations is an advantage.
