Job Summary:

The Finance and Administrative Officer will be responsible for overseeing financial and
administrative functions at JPalm Consumer Inc.’s Bong Factory operations. This role
ensures compliance with internal policies and external regulatory requirements while
supporting efficient business operations. The incumbent will also facilitate human
resource functions.


Key Responsibilities:

1. Human Resources Management:

         Assist the HR Manager in hiring, training, and evaluating team members for Bong
         operations.

         Handle partial payroll processing for Bong operations, ensuring accuracy and
         timely disbursement.

         Track and maintain monthly staff attendance records.

         Ensure that all staff-related records, including contracts, are properly maintained
         and updated.

2. Financial Management:
         Manage finance activities and schedules to meet financial reporting requirements
         and deadlines as specified by JPalm Consumer Inc.

         Assist with the preparation and review of project and administrative budgets.

         Ensure timely payments for company obligations, including salaries, contracts,
         insurance, utilities (electricity, water, telephone, etc.), and tax obligations. 

         Maintain proper organization, updating, and backup of financial and                                 administrative  documents.

3. Administration and Operations:

         Ensure smooth, efficient, and secure office operations.

         Allocate responsibilities and office space to optimize productivity.

        Develop, review, and improve policies, systems, and procedures to enhance                    operational efficiency.                                                                             

        Ensure that JPalm Liberia has current and valid contracts for leased properties,                equipment, and services, in compliance with legal and company policies. 

        Maintain records of lease agreements, transportation arrangements, and other                relevant administrative documentation.

4. Reporting and Compliance:                                                                             

        Prepare and submit reports after each partner visit.                                       

        Prepare and review operational reports and budgets.                                             

        Ensure compliance with Liberia’s legal and regulatory frameworks concerning                employment, contracts, and financial obligations.

5. Collaboration and Strategic Support:                                                                   

        Work closely with other departments and managers to achieve organizational                  goals. 

         Identify opportunities for operational improvements and efficiency                                     enhancements.                                                                                                          

         Support cross-functional projects as required.                                                         

6. Qualifications and Experience:

         Bachelor’s degree in Accounting, Finance, Business Administration, or a related             field.

         At least three (3) years of experience in finance, administration, or a related role.

         Proficiency in financial management, reporting, and staff management.

         Strong organizational, problem-solving, and analytical skills.

         Excellent communication and interpersonal skills.                                                   

         Proficiency in Microsoft Office Suite and financial management software.

7. Reporting Line:        

The Finance and Administrative Officer will report directly to the HR and                          Administrative Manager and coordinate with relevant department heads to                      ensure effective execution of responsibilities.

8. Duration:

This is a full-time position with an initial probationary period of three months, subject to performance evaluation.
